    Break the job into line items with quantities and rates — itemised quotes get fewer "why so much?" calls. Set the Valid-until date so old pricing expires by itself.

  3. Save the PDF and follow up

    Print → Save as PDF and send it. When the customer accepts, convert the same details into a GST invoice at delivery.

What is the difference between a quotation and an invoice?

A quotation is an offer made before any work happens — the customer can accept, negotiate or ignore it, and no payment is due. An invoice is a demand for payment after (or during) supply. Numbering, bookkeeping and GST treatment are all different, which is why this tool titles the document QUOTATION and numbers it in its own QTN- series.

Should a quotation include GST?

Show it — a quote that silently excludes 18% GST feels like a bait-and-switch at billing time. This tool shows the GST split as indicative, and the footer notes that taxes are estimated at today's rates.

How long should a quotation stay valid?

15–30 days is standard. Materials-heavy trades quote shorter (7–15 days) because input prices move. Always print the validity date: an undated quote can be "accepted" months later at prices you can no longer honour.

Is a quotation legally binding?

By itself, no — it's an invitation that becomes a contract only when accepted (and while valid). Put scope, exclusions and payment terms in the notes so what was agreed is on paper.
