“Copy formatted signature” puts rich HTML on your clipboard — paste it straight into the signature box and the layout survives. “Copy HTML source” is for clients and tools that accept raw HTML.
How to paste into Gmail
- Click Copy formatted signature above.
- In Gmail, open Settings → See all settings → General.
- Under Signature, click Create new, name it, and paste (Ctrl+V / Cmd+V) into the editor.
- Set it as the default for new emails and replies, scroll down and hit Save Changes.
How to paste into Outlook
- Click Copy formatted signature above.
- New Outlook / Outlook on the web: gear icon → Account → Signatures, paste into the editor, save.
- Classic desktop Outlook: File → Options → Mail → Signatures…, click New, paste into the edit box, OK.
- Send yourself a test email — classic Outlook renders with Word's engine, so always check the real thing.
How to paste into Apple Mail

How do I add a signature in Gmail?
Open Gmail, click the gear → See all settings → General tab, and scroll to Signature. Click "Create new", name it, paste the signature you copied here, then assign it to new emails and replies in the defaults dropdowns. The Save Changes button is at the very bottom of the page — skipping it is the classic mistake.
Why does pasting into Gmail lose my layout?
It won't if you paste rich HTML — which is what "Copy formatted signature" puts on the clipboard. Layouts break when people paste raw HTML source into the visual editor (Gmail shows the code as text) or use Ctrl+Shift+V, which strips formatting on purpose.
Why is my logo not showing in Gmail?
Gmail only renders signature images loaded from a public URL. If the image was pasted from your disk or a data URI, it dies silently. Host the logo somewhere public (your site works) and paste its direct link into the logo field here.
Does my signature appear in the Gmail mobile app?
Not automatically — the Android and iOS apps keep a separate, plain-text-only mobile signature (Settings → your account → Mobile signature). Leave the mobile one unset and Gmail uses your desktop signature on mail sent from the web; mail sent from the app uses whatever the app has.
Can I have different signatures for new mail and replies?
Yes — Gmail's signature defaults let you assign one signature to new emails and another (or none) to replies. A common setup: full signature on new mail, minimal one-liner on replies. Generate both here with different layouts.
How long can a Gmail signature be?
Gmail caps signatures at 10,000 characters — our templates use a fraction of that. If you hit the limit, an oversized pasted image is almost always the culprit.
